Microsoft Planner will delete plans created from Teams meetings after 180 days without task activity

25 September 2026 — Microsoft told Microsoft 365 administrators on 25 September 2026 that Planner plans created from Teams meetings will expire and be deleted automatically after 180 consecutive days with no task activity. The change, posted in the Message Center as MC1479508 and listed on the Microsoft 365 roadmap as item 571392, starts rolling out worldwide in early October 2026 and is expected to be complete by mid-October.

What changes

When a Teams meeting generates a Planner plan, through meeting notes or Loop, that plan will now have a lifetime tied to use. According to Microsoft:

• Only plans created from meetings after the rollout are covered. Existing plans are out of scope, and no plan can be deleted earlier than 180 days after the rollout, which puts the first possible deletions in spring 2027.
• Activity means creating, editing or deleting a task. Opening or viewing a plan does not count.
• The meeting organiser gets email warnings 30 days and 7 days before deletion, listing the plans, their last-activity date and a link to the tasks.
• Selecting "Keep plan" keeps a plan for another 180 days, and can be repeated.
• Only the Planner plan and Planner-specific data are deleted. Tasks in Loop and meeting notes remain.
• A deleted plan can be recovered for 30 days, but only by an administrator raising a request with Microsoft support. After that, deletion is permanent.

No admin action is needed to switch this on, and Microsoft's post does not describe a setting to switch it off.

Why it matters

Microsoft's own compliance notes on the post say the change alters how customer data is stored and introduces a new automatic deletion workflow. Teams that use meeting plans as a record of decisions or actions, for example project steering meetings, audits or client work, could lose that record if the organiser has left, is on leave or ignores the warning emails. Warnings go to the organiser only, not to every plan member. Records and compliance teams will want to know how this sits alongside their retention policies and legal holds; the post does not say whether a hold stops a plan expiring.

Microsoft 365 organisations whose staff create Planner plans from Teams meetings, their help desks, and records managers responsible for retention.

What to do

• Tell users that meeting-created plans now expire, that viewing does not keep them alive, and how "Keep plan" works.
• Move anything that is a record into a standard Planner plan, a SharePoint list or your project tool, rather than relying on a meeting plan.
• Ask Microsoft, through your account team or a support case, whether retention policies or litigation holds prevent expiry, and get the answer in writing.
• Brief the help desk on the 30-day recovery route through Microsoft support, and plan for organisers who leave the company.

Not yet independently verified. This rests on Microsoft’s own Message Center post and roadmap entry, read through a public archive because the admin centre requires sign-in; the two other write-ups found restate the post. We will update this when it can be confirmed, and remove this note.
