Google Meet AI note-taking turns on by default for Business Standard and Plus

22 September 2026 — Google is changing a default in Meet that affects many small and mid-sized organisations. From 29 September 2026, organisations on Google Workspace Business Standard and Business Plus will have automatic "Take notes for me" switched on by default for meetings with three or more people. "Take notes for me" is Gemini's feature for writing notes and summaries of meetings. Google announced the date on 22 September. It had originally said the change would not reach users before 21 September.

What changes

Until now, administrators could only turn automatic note-taking on or off for all meetings. Google is adding a third option that switches it on only for meetings with three or more people. For Business Standard and Business Plus customers, Google says this new setting will be "ON by default". For Enterprise Standard, Enterprise Plus and Frontline Plus customers, and for those with the Google AI Pro for Education add-on, it will be off by default.

Users also get a matching personal option, "For all meetings I host with 3+ guests". Once the change takes effect, users can override whatever default their administrator sets. Google warns that organisations in its Gemini Alpha programme that tested the setting earlier may already have it on. The rollout starts on 29 September and may take more than 15 days to reach everyone.

Who is affected

The change mainly affects organisations on the two Business editions, which are common among UK small and medium-sized firms. Meetings that were never recorded or summarised may start producing Gemini notes automatically. That matters for HR discussions, client calls under confidentiality terms, legal or financial advice, and meetings that include people outside the organisation.

What to do

  • Decide before 29 September. Administrators should open the Meet settings in the Google Admin console and choose a default on purpose, rather than inheriting Google's.
  • Check the privacy position. Automated notes are a new record of what people said. Update staff and customer privacy notices if needed, and consider whether a data protection impact assessment is needed for sensitive meetings.
  • Set retention rules. Find out where the notes are saved, who can see them and how long they are kept. Align that with your records retention policy and any legal hold process.
  • Review client and supplier obligations. Some contracts forbid recording or AI processing of discussions. Make sure teams know how to switch notes off for those meetings.
  • Tell staff. Explain the default you have chosen and how individuals can change their own setting, so meeting hosts know what attendees will see.

If you are on an Enterprise or Frontline plan, the default is off. It is still worth confirming the setting, because users can now turn automatic notes on for their own meetings.

Not yet independently verified. This rests on Google’s own Workspace Updates posts. The date moved from 21 to 29 September between Google’s July and September posts. No independent report of it was found, so it is only as reliable as that page. We will update this when it can be confirmed, and remove this note.
