Carats.Online is a web-based inventory system made specifically for people who trade in gemstones, particularly agents and small companies. Because it runs in the cloud, it is used from a PC, a tablet or a phone, so the dealer does not have to look after servers, backups or storage, and does not have to carry data around.

Stock kept as parcels

Goods are managed as parcels, also called lots, which can be created, updated and followed through states such as draft, in stock, on memo, sold or closed. A parcel carries real gemstone properties, so a dealer can query for something specific, for instance emeralds within a given weight range and cut, instead of searching free text. Parcels can be split or merged, bar codes can be used, and locations, labels and quantities are tracked.

Costs after splitting and merging

The cost of a purchase can be entered per carat, per unit or as a total for the whole parcel. When parcels are split or merged the system keeps a weighted average, and the current site adds that users can review and adjust values to match their own practice. According to the vendor, a returned item remembers the cost it had at the time of sale.

Invoices and memos

Invoices can be created from stock or from items that were out on memo, exported as PDF copies and emailed to the customer in a single click. The memo section records what was given to customers on approval and highlights items that have not come back, with reports that can be sent to the client asking for their return.

Reports

The system produces stock, sales, items-on-memo and actual profit reports that can be filtered further, replacing the hours that dealers would otherwise spend building them in spreadsheets.
